Quick Step Guide - Direct Deposit

Payroll Direct Deposit File

  1. At Manage Pay Vouchers select add New Voucher for all the employees receiving pay.
  2. Prepare Checks
    1. Check the Next Direct Deposit number. If the number needs to be changed click in Change check #.
    2. Change the number and click Prepare/Create Check(s).
  3. Select Primary Task|Manage Checks|View Tab |Print Unprinted Direct Deposit. Use this view to print the direct deposit advices to be given to employees.
  4. Select Primary Task|Manage Checks|View Tab |Review Unfiled Direct Deposit. Use this view to select with the Quick Search which vouchers to include in the ACH file.
  5. Click the Direct Deposit button at the top of the workspace.
  6. Click the “” button to browse to the location where the file will be saved and name of the file to be created.
  7. Enter the date the transaction is to take place.
  8. Click on Create File.
  9. Using Windows Explorer, browse to the location the file was saved. Send the file to the bank via the method predetermined with the bank.

Prenote Direct Deposit File
* This is a test file and needs to be created every time a change is made to an employee’s direct deposit, or a new employee is added.

  1. From the Manage Employees list view, double click the employee record to be direct deposited.
  2. Select the General from the View tab if not already there.
  3. Click the Edit Employee button.
  4. Enter a check mark in the box labeled ‘Deposit net pay using direct deposit into account specified below’ if applicable.
  5. Select the employee’s bank from the drop down list in Direct Deposit Banks.
    1. Banks are added by clicking on the Tools tab.
    2. Click on Direct Deposit Banks.
    3. Click New button.
    4. Enter the Bank Name, Description, and Routing #.
    5. Make sure Active is selected and click Save button.
    6. Click Close button and return to employee record.
  6. Enter the employee’s bank account number.
  7. Select Prenote Checking or Prenote Savings for the Direct Deposit Trx Type.
  8. Save the changes made to the employee
  9. Go to Edit| Adjust Preferences| Direct Deposit to verify the employer’s settings.
  10. Click Create Prenote File.
  11. Click the “…” button to browse to the location where the file will be saved and enter the name of the file to be created.
  12. Enter the date the test is to take place.
  13. Click Create File.
  14. Using Windows Explorer, browse to the location the file was saved. Send the file to the bank via the method predetermined with the bank.
  15. When the bank approves the data they received, change each employee’s Direct Deposit Trx Type to Checking or Savings as appropriate (Primary Task| Manage Employees|Employee|General and/or Wages|Other Recurring Entries).
